Refund Policy
Our policy on subscription cancellations, refunds, and billing disputes for GYMBIM plans.
1. Free Trial
GYMBIM may offer a free trial period as advertised on our pricing page. No payment is charged during the trial. You may cancel before the trial ends to avoid being billed.
At the end of the trial, your selected plan is activated and billing begins unless you cancel beforehand.
2. Subscription Cancellation
You may cancel your subscription at any time from your account dashboard or by emailing office@techimpace.com.
Cancellation takes effect at the end of the current billing period. You retain access until that date. No partial refunds are issued for unused days within a billing cycle unless required by law.
3. Refund Eligibility
Annual plans: Full refund available within 14 days of initial purchase if you have not substantially used the platform (defined as importing more than 50 member records or activating biometric hardware).
Monthly plans: Refunds are generally not provided for monthly subscriptions. Exceptions may apply for duplicate charges or billing errors.
Hardware bundles: Physical biometric devices are subject to the hardware supplier's return policy. Software-only refunds do not include hardware costs once devices are shipped.
4. Non-Refundable Items
Setup/onboarding fees (if separately charged), third-party payment gateway fees, SMS/credit top-ups already consumed, custom development work, and subscriptions terminated for Terms of Service violations are non-refundable.
5. Billing Errors
If you believe you were charged incorrectly, contact office@techimpace.com within 30 days of the charge with your invoice number and details. Verified errors will be refunded within 7–10 business days to the original payment method.
6. Downgrades & Plan Changes
Downgrading to a lower plan takes effect at the next billing cycle. No refund is issued for the difference in the current cycle. Upgrades are prorated for the remainder of the billing period.
7. Account Suspension
Accounts suspended for non-payment may be reactivated upon payment of outstanding dues. Data is retained for 30 days after suspension before permanent deletion.
8. How to Request a Refund
Email office@techimpace.com with subject "Refund Request", including your account email, invoice number, reason for request, and purchase date. We aim to respond within 5 business days.
Approved refunds are processed within 7–10 business days. Bank processing times may vary.
